WHAT WE DO

Managing your inbox effectively is crucial, especially if you receive lots of emails daily. Our service is a result of real-life experiences from individuals who have successfully mastered the art of inbox management. We will place practices and proven techniques to prioritize and give you the ability to respond to messages promptly, ensuring that important communications are never missed.

  • Assess your current email situation: Start by understanding the scope of your email clutter. Take a look at your inbox and identify common themes or categories that emerge from the messages you receive. This will help you determine the types of folders or labels you need to create.

  • Create folders or labels: Once we have a clear understanding of your email categories, create folders or labels within your email client. We will use descriptive names that reflect the content or purpose of each folder. For example, you could have folders like "Work Projects," "Personal Finances," or "Travel Plans."

  • Prioritize and declutter: We will sift through your inbox and start prioritizing messages based on their importance and relevance. Delete or archive emails that are no longer needed or don't require immediate attention. We will teach the email client to be selective and keep only the essential messages in your inbox.

  • Establish email rules and filters: We will take advantage of your email client's automation features to create rules or filters that automatically sort incoming emails into specific folders.

  • Set aside time for regular maintenance: If needed, we can schedule dedicated time on your calendar to regularly review and organize your inbox. This could be a weekly or monthly task, depending on your email volume.

  • Utilize search and advanced search functions: As your email archive grows, searching for specific messages becomes essential. We will help you to familiarize yourself with the search function within your email client and learn to use advanced search operators.

Our remote service is handled through Zoom or other screen sharing platform and we can do most of the work without needing you at the computer. Here’s how we work:

DIGITAL LIFE Email ORGANIZING METHOD

Our organizing goal is achieved first by making everything easily findable and logically organized. Start by discussing your specific situation and goals over Zoom or other screen sharing technology.

No matter what email application you use, we need to assess your usage. This is accomplished by:

  • Assessing your email application without bothering you!

  • Creating a plan to break the work into 3-4 hour sessions.

    • Depending on context we may only a need one session; others may need 2-3 sessions.

  • At the end of each session we will have a list of questions to review with you.

  • Typically we would group the files between Business and Personal.

    • For Business files we organize them to divide them between Client files, Operations files, Marketing and Creative files, Vendor files, etc.

    • For Personal files we organize them by Financial, Family, Projects, Home, etc.

  • Secondary organization is based on your needs:

    • Create context sensitive folders

    • Create or enhance automation rules to silo emails

  • Technical optimization efforts can include:

    • Archive older emails for retrieval is needed.

    • Examine email productivity tools that can enhance organization efforts.

    • Familiarize you with advanced search features.

  • Training you and walking you through the new, organized email application.

  • Mimic the organization structure on your mobile devices.

  • Organize the apps by type, placing them in folders

  • Train you on your email application
